Prepare readable application files without losing important detail
Choose conversion, compression and page-order steps based on the employer’s actual upload requirements.
Read the upload instructions first
Write down the accepted file type, size limit, page limit and any required naming convention. Do not assume every application uses the same rules. A document that is small enough may still be rejected because it is the wrong type or missing a page.
Keep your original files and work on copies. Converting, compressing or rotating a document changes the output; it does not validate the information in it. Review the final download before submitting it.
Choose the smallest necessary operation
If the employer requests one PDF, combine the required pages in the requested order. If only a subset is needed, extract those pages rather than including extra personal information. Rotate sideways scans before merging so the recipient can read them without adjusting each page.
If an image is too large, reduce its dimensions or compression quality gradually. Inspect fine text and edges at a readable zoom level after each change. A file that meets the size limit but makes a certificate number unreadable is not a useful result.

An image-based PDF may look readable to you while containing no selectable text for software. Use the original text-based export when the employer expects machine-readable content.
A worked preparation sequence
Fictional requirement: Upload a resume PDF and a separate two-page supporting-document PDF.
- Export the resume directly from the editor and open the downloaded file.
- Check the two supporting scans for cropping, rotation and missing edges.
- Combine only those two pages, in the requested order.
- Check the output file size against the actual limit.
- Open both final files and confirm names, content and page count before uploading.
Do not combine the resume and supporting evidence just because a merge tool is available. Let the application instructions decide the structure.
Handle photos and grades with extra care
For a passport, visa or identity photo, consult the authority's current specifications. A preset, crop or background adjustment cannot guarantee acceptance. Check dimensions, face position, lighting and any restrictions on retouching with the relevant authority. Do not use a cosmetic edit to change identity features.
Grade conversions are estimates unless your institution or receiving organisation endorses the conversion. Preserve the original grade and scale. If a form demands an official conversion, use the institution's method or ask the receiving organisation instead of treating an online calculator as certification.
On shared devices, close your document workspace when finished and remove downloads you no longer need. Browser processing does not make a downloaded file private from other people who can access the device.
